Nashville Renter Profile: Churches, Schools, and Large Groups
Church trips, schools, and large groups all have one thing in common. You need a reliable van to fit a big group of people.
We've been renting vans to Nashville-area churches, schools, and groups since 2018, and we've heard the same frustrations over and over: mileage caps that blow the budget, fleet substitutions at the last minute, and customer service that is a nightmare.
Here's what you actually need to know before you book.
What Size Van Does Your Group Need?
For most trips, you're looking at one of two options:
Ford Transit (12–15 passengers) — The go-to for school classes, youth groups, and retreat trips. Seats up 12-15, easy to drive, and plenty of cargo room for luggage and gear.
Mercedes Sprinter (12 passengers) — Better for longer drives or groups that want more comfort. Taller ceilings, quieter ride, and a more premium feel without renting a charter bus.
Need more than one van? We can handle multi-van bookings. One of our churches called us 10 days out needing 70 seats. We made it work.

Every rental from U.S. Rental Vans comes with:

Anytime pick up and drop off
Free on-site parking for your vehicles while the van is out
No surprise fees
That last one matters. Mileage overages and add-on charges are where most rental companies get you. We don’t do that.
Do You Need Special Insurance?
You just need proof of full coverage insurance — either your own personal policy or your organizations commercial coverage.
If your policy doesn’t cover rentals, we offer insurance you can add on. Give us a call and we’ll walk through the options.
Do You Need a Special License to Drive the Van?
No. A standard driver’s license is all you need. Drivers must be 21 or older.
How Far Out Should You Book?
For busy seasons (summer camps, spring retreats, fall mission trips), we recommend booking at least 3–4 weeks out. If you’re coordinating a multi-van trip, give yourself more runway — those take a little more planning on both ends.
That said, we’ve pulled together last-minute trips before. It never hurts to call and ask.
